This role provides professional and personal assistance to the Executive Chairman & Co-Founder of Zillow. The Executive also serves as a Chairman and Board Director for other organizations, which adds an element of diversity, complexity and fun to the Assistant’s role. Successful candidates will possess the ability to multitask, make smart and timely decisions with limited guidance, have strong attention to detail, and react with appropriate levels of urgency to situations and events that require quick response or turnaround. He or she will be highly self-motivated with a strong sense of initiative and will possess the ability to anticipate needs and be a driving force in keeping the executive organized. The ideal candidate will also have exceptional verbal and written communication skills, and the ability to switch gears at a moment’s notice. High levels of integrity and discretion in handling confidential information is a must and a high degree of professionalism in dealing with senior professionals inside and outside the company is required.

Responsibilities include:

Manage complex calendaring for all day-to-day business and personal activities

Effectively prioritize numerous requests and incoming information, ensuring appropriate level of urgency is given to each

Monitor/track executive’s movements, priorities and emails and act as proxy when necessary
Manage all travel arrangements for professional and personal travel domestic and internationally

Board Liaison - Responsible for managing Board of Director Meetings logistics (scheduling, materials, communications and onsite preparation)

Assist with personal and business finances

Run personal errands as needed

Requirements:

Minimum of 5 years Executive administration experience in a fast paced, preferably in a high tech and/or start-up environment

Experience managing highly confidential information with discretion and care

Straightforward communication style while maintaining a get-it-done attitude and sense of humour

Excellent written and verbal communication skills

Assertive, yet diplomatic and discreet

Strong organizational skills and attention to details

A high level of maturity, self-confidence and exceptional intuition and judgment

An effective and proactive problem-solver, analyzing all situations thoroughly in order to anticipate problems before they arise.

Ability to work independently, use good judgment and prioritize with little direction

Advanced knowledge of Microsoft Office: Word; Outlook; Excel & PowerPoint

Knowledgeable user of social media channels; creative and innovative thinker

Flexible to work around executive’s schedule
